Booking Workflow
Understanding the complete booking lifecycle ensures smooth rental operations from first enquiry to final return. Every stage is tracked and logged for full accountability.
Complete Lifecycle
Staff creates a new booking — customer selected, vehicle reserved, dates and payment terms set. The vehicle is tentatively blocked from other bookings for the selected period.
Manager or staff confirms the booking. Advance payment is recorded. Customer receives an SMS and email confirmation. The vehicle is now fully reserved.
On the pickup date: complete the pre-rental inspection checklist, record fuel level and odometer reading, collect any outstanding advance payments, and mark the booking as Active. Vehicle status changes to "On Rent".
While active you can: record additional payments, extend the booking period, add damage notes, or flag overdue status if the vehicle is not returned on time.
When the customer returns: complete the post-rental inspection checklist, record final odometer reading and fuel level, calculate and collect any penalty for late return or damage, record balance payment, and mark as Completed. Vehicle returns to Available status automatically.
Extensions
To extend an active booking: open the booking → click "Extend Booking" → set the new return date → review additional charges → save. The customer receives an extension confirmation notification.
Cancellation
To cancel: open the booking → click "Cancel" → select the cancellation reason → specify refund amount if any → confirm. The vehicle is immediately released back to Available status.
Always complete the pre and post inspection checklists with photos. These serve as evidence in any damage dispute and protect your business legally.
